How to Connect Claude to Your Company Data with MCP
A step-by-step approach for giving Claude secure access to internal systems such as your CRM, database, or ticketing tool using the Model Context Protocol.
Claude is far more useful when it can work with the information your team uses every day. Instead of copying data into a chat, people can ask Claude to summarize open support tickets, look up a customer's order history, or draft a report from live figures. The Model Context Protocol is the standard way to make that connection, and it works with Claude, Claude Desktop, and many other AI clients.
Step 1: Choose the first use case
Start with a narrow, valuable task rather than trying to connect everything at once. Good first candidates are questions people ask often and currently answer by searching several systems, such as "What is the status of this customer's latest order?" or "Which deals in our pipeline have not been updated in two weeks?" A focused first use case makes it easier to measure value and to get security right.
Step 2: Design a small set of tools
List the actions Claude needs for that use case and turn each one into a tool with a clear name, a one-sentence description, and typed parameters. For example, search_customers(query), get_order_history(customerId), and list_stale_deals(days). Describe what each tool returns and when it should be used. Claude chooses tools based on these descriptions, so clarity directly affects quality.
Step 3: Connect the tools to your systems
Each tool calls your existing API or database and returns structured, concise results. Return only the fields Claude needs, limit the number of records, and convert internal codes into readable values. Smaller, cleaner responses lead to better answers and lower cost.
Step 4: Secure the server
Decide who should be able to use the server and what each person may see. For a small internal team, an API key may be enough. If the data differs by user, use OAuth so that Claude acts with each person's own permissions. Store credentials for your internal systems as encrypted secrets, and start with read-only tools before adding any that change data.
Step 5: Deploy and connect Claude
Deploy the server to an HTTPS endpoint and add it to Claude as a custom connector, or add it to Claude Desktop through its configuration. Test with real questions from your team and watch which tools Claude calls and how it uses the results.
Step 6: Monitor and improve
Track which tools are used, how long they take, and where errors occur. Refine descriptions when Claude chooses the wrong tool, and add new tools only when a real need appears. Over time, the set of tools becomes a reliable interface between your AI assistant and your business.
Build it yourself or use a platform
You can build and host an MCP server with the official SDKs if you have the engineering capacity to run it. If you would rather focus on the tools themselves, MCPCore handles hosting, authentication, secrets, and monitoring, and generates the configuration for Claude and other clients. For larger integrations that span several systems, our team at HAFETECH can design and build the full solution with you.
